VHS Admissions
We, the undersigned of this document, prospective international students to Higher Studies in Sweden, prospective Swedish students or former applicants, altogether simply concerned and active individuals call for the improvement of the centralized admission system.
We do so not because we have the right for a better system and demand one forcefully, but because it is in the benefit of all – both Swedish and international students, both employees of the VHS Admissions Office and university reviewers, both involved individuals and organizational groups.
But above all, we do it in the interest of fellow colleagues, future prospective students, who might be part of the admission system in the time to come and we would like their experience to be smoother.
Below, briefly stated, are some of the reasons we consider the current system to be leaving space for improvements. Its implementation for December 2007 international applicants was welcomed and embraced, but we feel empowered to share our understanding in the effort of changing the things that went for the worse or that have made a stressful period for both students, on one hand, and Admissions Offices, on the other hand, whether national or university based.
- Improper Contact Options
- The online contact form residing at "studera.nu" was generally producing only template-based responses no matter if the questions were specific or general, of low or high importance, with an available response already online or not.
- Phone calls, leaving aside the international call costs, were putting an enormous strain on the VHS Admissions Office operators and putting the callers on long queues, even more than one hour long.
- Some university based Admissions Offices have been hard or impossible to reach supposedly due to a high overloading or transferred questions from the VHS Admissions Office to their office.
- Issues with Application Filling and Documentation
- The provided mail address was not appropriate for courier/express services. The new address was only given through individual talks with the admissions offices or through unofficial blog pages.
- Searching for programmes was more like a beautifying option than a useful tool. Programme codes have been mostly taken by students from individual university pages and used directly in the centralized system.
- Some types of documents, like reference letters, which are usually university or programme focused, became obsolete without notification since students were asked to attach only 2 reference letters for all the programmes part of one application.
- Low -quality Communication Techniques
- "studera.nu" lacked an up-to-date Frequently Asked Questions section.
- Some students received E-mail confirmation of documents’ arrival, while others did not and thus putting them to uncertainties.
- Students’ Application Pages were showing virtual messages, while messages were simply status changes, again putting students to doubts.
- Nothing mentioned an assigned Admission Officer from the top priority application alternative’s university. Thus questions and concerns were primarily targeted at the VHS Admissions Office and awaited a reply, only to be redirected several days after to an Admission Officer.
- Full names of the Selection Groups were only available on the Swedish version of the application page.
- Nothing stated that the Selection Groups and Merit Ratings were decided by each university at will and that they cannot be treated as a compelling situation summary.
- Confusing Planning and Situation Management
- The extended application period (March 15 – April 15) has not been announced on the centralized system, but only on individual university pages which were only stating descriptions of their master programmes, highlighting specific requirements and linking to "studera.nu" for application procedures before and during the normal application period (December 1 – February 1).
- The extended application period was not complementary to the normal application period and created some unexpected situations:
- Applications made during the extended application period were to be considered with full priority, while February 15 – March 15 were to be considered late and with low priority.
- European Union/European Economic Area students were requested to change their application and incorporate new programme codes. These codes were not made available before or during the normal application period.
- European Union/European Economic Area students applying to some of the programmes included in the extended application period have been treated as international students (putting in place the requirement of finished bachelor studies) and they would be disqualified if they weren’t going to switch to the new programme code.
- Universities have treated the extended application period differently. Some have implemented new programme codes in the centralized admission system, with a new application deadline (April 15/18), while the old codes couldn’t be added to application. Other universities allowed the old codes to be added to post-February 1 applications, thus making no demand on changing to new programme codes.
- Application statuses have been switching back and forth without any reason whatsoever. Students have seen their application alternative going from Application in process to Unqualified and back, or from a given Selection Group and Merit Rating back to Application in process and back.
- End of the Admission Round was postponed twice without a stated official reason. First from April 15 to April 29, and then to May 8. Supposedly, if it was indeed due to overload, we feel that an extended application period should not have taken place. This delay could create problems for students who need to go under visa procedures.

- to implement a more transparent and assisting centralized admission system

- by analyzing the encountered issues
- by discussing the possible solutions and actions with all the involved parties

- by implementing the required changes to the system in a timely manner

Also if there is any possibility to make the applicant certify the scanned documents into the database to make sure that the package has bee received and scanned properly.

@Ahmed Fikri: With all due respect, that would be over the fence! Documents should not be available online at any costs. They should only be available within a secure admission network between the National Admissions Office and the university-based Admissions Offices.

@Andrei Neculau: This problem happened to some one. Studera officer has scand someone’s else certificates and put it in my friends account and by coincidences he discovered this problem. So how would we avoid this in the future.

@Ahmed… EU’s laws and policies take very seriously protecting people’s privacy (as far as I know, Spain has the greatest fines about privacy’s issues). Studera could easily let you see your own documents, but that could create a serious security threat… and a very interesting target for hackers…
I’m quite sure that what we can see it’s just a replica (with little information) of the main system which is not public and can only be seen by authorised people under very strong security measures
I understand what you say, but I guess that any University which checks an applicant and the documents don’t belong to the one being reviewed, will put a note warning about this issue so VHS can fix it.

Hi all, I also have MR at 999 with SG GRP1 for one programme and another programme only MR 12 with SG IM, the 3rd one MR 180 with SG APAV. I don’t understand what those things mean. Any one knows? And messages in each programme I still could not open as they are only some dots. There is no news for my top priority programme as the status unchanges, while I contact them and they said they received my data base but still haven’t nominate any students for SI scholarship yet! So I guess we will have to wait for mush longer….
I think now all of us are anxious to know the results but they delay the date for realising results because of so many applications. Their new central admissions system may cause overloaded work and complicated!!!
Hope next year the situation will be better so that applicants will not have to suffer the same like this year!

all applicant who take IETLS, only got one Grade Sheet, however you have to send 3 if you apply 3 major which another 2 would be sent by IETLS test centre directly. VHS does not mentioned what should IETLS centre mark on the envelope, what if they missed or mistake to another applicant ?

explaining IELTS?
international english language test…. 2 years guarantee
test including listenning, reading, writing..and oral english test
full mark is 9.0 while 6.5 is enough to apply Sweden university master programm, i think it easier than TOFEL
IELTS centre will send one copy of ur scores and 5 copy to different universities for free within 3 months after you take the test. last year i found some Sweden university could check your IELTS score on web through your test No.
it has to be sent by IELTS test centre if you want sent the score for application after 3 months take the test. so i dun think VHS offer a reasonable proceedure for this as they have not mentioned what kind of remark should the test centre write on the envelope for their quick serch in thousand of files. they did make some mistakes before, didn’t they?
and pity, my application document missed deadline for 2 days cause DHL guys could not find the ADD. an international application centre could not been found ? hehe

It’s just that your question regarding IELTS was not easy to follow.
The same procedure goes for TOEFL as well.
There is nothing to be written on the envelope. And I don’t see it as a process that can lead to mistakes.
Plus, if you really want to be sure there won’t be any mistake, like I’ve written on my blog, you can attach a certified copy of your IELTS/TOEFL results in the application package.

My name is Nicholas Mario Wardhana, an Indonesian. Too bad I found your posts related to VHS admission very late.
I applied to Linköping University via studera. In my account, I received a message that I am unqualified because of lacking English skill proof. I have inserted a certified copy of IELTS, and my score is above the requirement. Although it was written that I may disregard the message if I had included an English test report copy, it really freaked me out. I asked VHS via email and only received the template answer. Now I am giving up this application and have considered other universities to continue my study.
Keep up the good work (it’s great to find somebody else started a petition, something I didn’t consider before), and may the next term applicants deal with a better management.

I really cannot say anything else other than I’m simply trying to make it better for the next to come, although it seems quite hard to get the signatures - people are still wining about the situation, but don’t sign. If you have friends supporting you, get them to sign as well.
Hope you will find yourself a nice university! Or maybe you will get into a Swedish uni after all. You definitely seem to be worth of a good uni.
